If you want a FreshBooks alternative with AI that answers questions about your own books, PennyBot is the one to look at: it works inside the AI you already use (ChatGPT, Claude, Gemini, Grok or Perplexity) and costs $5 or $15 a month, against FreshBooks at $17 a month and up. The catch is real, though. PennyBot doesn't send invoices. FreshBooks' strengths are invoicing, time tracking, templates and a client portal, so if billing clients is most of your week, keep FreshBooks for that and replace only the bookkeeping side.

What's changed isn't another AI badge stuck on an accounting app. It's that the assistant you already open every day can sign in to your books and work with them.
FreshBooks does two jobs. You may only need to replace one.
Think of FreshBooks as two tools sharing a login.
The first job is billing: creating invoices, tracking billable hours, sending clients to a portal. That's where FreshBooks is strongest, and plenty of service businesses pay for it for exactly that reason.
The second job is keeping the books: sorting every transaction into the right category, knowing what you actually made this quarter, having expenses grouped when tax time comes. FreshBooks' weak spots sit here. It's expensive if your needs are basic, and it doesn't track debts or investments. Its AI is a free connector that lets Claude read your invoices, expenses and cash flow, but it's read-only, so Claude can't categorize or record anything for you.
So before you go shopping, look at which job you're paying for. Most people don't realize they're shopping to replace the half of the tool that works fine for them. If FreshBooks feels overpriced, the answer usually isn't a better invoicing app. It's a cheaper, smarter home for the bookkeeping.
What "with AI" should actually mean
A lot of software now says AI on the box. For bookkeeping, the useful test is simple: can you ask a plain question and get a plain answer about your own money?
With PennyBot, you sign in from the assistant you already use, then ask things like how much you spent on gas this quarter. Your connected AI can also run reports, record transactions and categorize them for you. PennyBot has its own chat in the app too, with 25 messages a month on Essentials and 100 on Professional. Past that allowance, the same questions keep working through your connected AI.
Categorization runs in a fixed order:
- Your rules first. Set them by asking your connected AI ("anything from this merchant is Software"). They always win.
- Then merchant memory. Correct a merchant once and PennyBot files it the same way next time, with no AI call.
- Then AI, which only assigns a category when it's at least 70% confident.
You can see why the AI picked a category, and every category change has a history you can undo. That matters more than it sounds. A tool that guesses quietly is worse than one that shows its work.
FreshBooks vs PennyBot, side by side
Prices as of November 2026. Check each vendor's pricing page before you decide.
| FreshBooks | PennyBot | |
|---|---|---|
| Starting price | $17/mo | $5/mo (Essentials), $15/mo (Professional) |
| Invoicing, time tracking, client portal | Yes, its core strength | No |
| AI assistant for your books | Claude only, read-only (free connector) | Works inside ChatGPT, Claude, Gemini, Grok or Perplexity and can categorize and record too, plus its own chat |
| Investment and debt tracking | No | Yes, from values and loans you enter |
PennyBot also covers ground that doesn't fit neatly in a table:
- Mileage logging, with each trip priced at the IRS standard rate for the date you drove
- Budgets and savings goals
- A journal and general ledger on both plans (in plain terms, the full record of money in and out, kept so every entry balances)
- A deductible-category report that groups year-to-date expenses by category, with a 1099 vendor summary. It's general information, not tax advice; whether something is deductible is a question for a tax professional.
- On Professional: an income statement, balance sheet and cash flow statement with PDF export, plus cash flow forecasting
One honest caveat on those statements. They're built from the journal entries you post, not generated automatically from your bank activity. If you never post entries, they'll be thin.
Running both: bill in one tool, keep books in another
This is the setup that makes the most sense for a lot of FreshBooks users, and it's worth being precise about how it works.
FreshBooks isn't one of PennyBot's accounting connections, which are QuickBooks, Xero and Wave. So client payments reach PennyBot the way every other transaction does, after the money lands in your bank account:
- Through your AI (US). Link your bank in ChatGPT (its Finances feature) or Grok, connect PennyBot to that assistant by signing in, and ask it to record your transactions. It happens when you ask, not automatically, and PennyBot never sees your bank login.
- CSV import from your bank.
- Bank-statement PDF upload on Professional.
- Manual entry.
The cost math is straightforward. FreshBooks from $17 plus PennyBot Essentials at $5 is $22 a month or more. That's more than FreshBooks alone, so it's only worth it if the AI side saves you real effort. If you send just a handful of invoices, Wave's free invoicing paired with PennyBot is the budget version, and PennyBot can import your Wave transactions (import only, so edits stay in PennyBot).
Who should stay with FreshBooks
Stay if you bill by the hour and rely on built-in time tracking. Stay if your clients use the portal and expect it. And stay if you want one tool for everything and care more about invoices than about asking questions of your books.
There's no shame in that. FreshBooks is good at what it was built for.
Switch the bookkeeping side if your frustration is the opposite one: you don't know where the money went, categorizing feels like a chore, and you'd rather ask than click through reports. You don't need to give up FreshBooks to do that. If the AI side is what draws you, GPT-Powered Accounting Software is a useful next read, and so is Small Business Accounting Software That's Actually Simple. Frequently asked questions
Does PennyBot do invoicing like FreshBooks?
No. PennyBot doesn't create or send invoices or collect payments. It's the bookkeeping side: categorizing transactions, reports, budgets, mileage, and answering questions about your money from the AI you already use. If you invoice clients, keep an invoicing tool such as FreshBooks or Wave, and record client payments in PennyBot once they reach your bank account.
Can I move my FreshBooks data into PennyBot?
No. PennyBot's accounting connections are QuickBooks, Xero and Wave. To bring in past activity, import a CSV from your bank, upload a bank-statement PDF on the Professional plan, or, in the US, ask ChatGPT (Finances) or Grok to record transactions from the bank you've linked there. PennyBot never sees your bank login.
Is PennyBot cheaper than FreshBooks?
On its own, yes: PennyBot is $5 a month for Essentials or $15 for Professional, billed monthly, while FreshBooks starts at $17 a month. But PennyBot doesn't invoice, so if you keep FreshBooks for billing you'll pay for both. Compare the total against how much time the bookkeeping side costs you now.
Which AI assistants work with PennyBot?
You can sign in to PennyBot from ChatGPT, Claude, Gemini, Grok or Perplexity. A connection screen names the assistant before you approve it, and Settings lists every connected assistant with a Disconnect button. Once connected, you can ask questions, run reports, and categorize and record transactions in plain English from that assistant.
